What is a Messenger chatbot?
A Messenger chatbot is software that replies to the messages customers send your Facebook page, so they get an answer when your team is busy or closed. The simplest kind sends a fixed reply to a keyword. An AI chatbot understands the question, answers from information you approved, and can book the appointment.
It matters in the Philippines because this is where customers ask first. Meta’s advertising tools reported 61.8 million Messenger users here in early 2025 (DataReportal, Digital 2025: Philippines).
The two kinds of Messenger chatbot
Fixed replies. The customer’s message must match a keyword or a button, and the chatbot sends the reply you wrote for it. Facebook gives every page a version of this for free. Fits: A business with a handful of questions that are always asked the same way: opening hours, location, how to order.
An AI chatbot. It reads the message as a person would, so “magkano po cleaning” and “how much is a cleaning?” get the same answer. It replies from a set of answers you approved and can go on to book the appointment. Fits: A business that takes bookings, gets the same questions worded a hundred ways, and loses customers when nobody replies after closing.
What Facebook gives your page for free
Before paying for anything, switch on the automated replies in the Inbox of Meta Business Suite:
- An instant reply to the first message someone sends your page.
- An away message for the hours you are closed.
- Ready answers for up to five frequently asked questions.
- Your own replies for messages that contain a keyword you choose. The keyword must match exactly.
Meta describes them in its help page on automated responses. They stop a customer waiting in silence. They cannot understand a question worded differently, check your calendar or book a visit.
When an AI chatbot is worth it
Move up when the free replies leave customers waiting anyway: the same question arrives worded many ways, enquiries come in after closing, your staff answer chats while serving the customer in front of them, or you run more than one branch with different prices and hours.
For a business that runs on bookings, the test is simple. If a customer can ask a price at 9 PM and be booked for the next day without anyone on your team touching the chat, the chatbot is doing its job. See how the QuadScale AI Receptionist does it.
Five things to check before you choose one
- Does it say when it does not know?
- It should answer only from what you approved and pass anything else to your team. A chatbot that guesses a price costs you more than a slow reply.
- Can your team step in?
- Every conversation should sit in an inbox your staff can read and take over at any point.
- Does it book on your real calendar?
- Offering a slot that is already taken is worse than offering none. It should read the open slots and write the booking back.
- Does it cover Instagram and your website too?
- Customers do not stay on one channel. One set of answers should serve all three.
- Does it work for every branch?
- Each branch has its own prices, hours and calendar. You should still see all of them on one screen.
How to set one up
- List the ten questions customers ask most, in their own words.
- Write the exact answer you want given to each one, with the price and the time.
- Decide what must always go to a person: advice, complaints, anything not on your list.
- Test it with real questions before any customer sees it.
- Read the conversations every week and add the answers it was missing.
These steps hold for any chatbot. They are also how QuadScale sets one up for you, and the same answers then serve every branch from one inbox.
Questions owners ask
- Is a Messenger chatbot free?
- The fixed replies inside Meta Business Suite are free for any Facebook page. An AI chatbot that understands free-form messages and books appointments is a paid service.
- Will a chatbot say something wrong to my customer?
- A fixed-reply chatbot only sends what you wrote. An AI chatbot is safe when it is limited to answers you approved and passes the chat to your team when the answer is not there. Ask any provider how theirs is limited.
- Can my staff still reply themselves?
- Yes. With QuadScale every conversation is in the inbox and your team can step in at any point.
- Does QuadScale set up the Messenger chatbot for me?
- Yes. QuadScale writes the answers with you, connects the AI Receptionist to your Facebook page, Instagram and website chat, and nothing reaches a customer until you approve it.
